What this does
Adds training associates to your GembaDocs Skills Matrix, either one at a time or in bulk with a CSV upload. Once they’re in, you can edit their details, archive them, and pull their training history.
When to use it
- Onboarding a new operator and need to add them to the Skills Matrix
- Bringing a whole shift, department, or site online in GembaDocs for the first time
- Keeping associate records up to date – department changes, shift changes, clock number updates
- Pulling training history for an audit or compliance review
How to do it
Add an associate individually
- Go to the Training Associates tab
- Enter first name and last name
- Add tags, if you’re using tags in GembaDocs
- Add department, shift, and clock number
Bulk add associates with a CSV
- Download the sample CSV file
- Open it in Excel – the fields are simple and match the individual add form
- Fill out the fields for each associate
- Save the file
- Upload it to GembaDocs
Your training associates are added straight to the database, no manual entry required.
Manage existing associates
- Click the three dots next to any associate to edit their details
- Archive an associate you no longer need active
- Open an associate’s individual training history
- Export that history to Excel
Tips and common mistakes
- Fill out the CSV template exactly as downloaded – don’t rename or reorder the columns
- Use tags consistently across associates if you want to filter or report by them later
- Archive associates instead of deleting them, so their training history stays on record for audits
