How to Create SOP Cover Sheets

Cover sheets let you add the purpose, scope, responsibilities, and equipment to any SOP in GembaDocs. Write your SOP first, then switch on the cover sheet and use AI to generate suggestions for each section from your SOP content. You can also link related SOPs as QR codes, show the change history and training status, and upload your own Word document if you need a custom format.

Lesson Detail

The Lesson

Step 1 – Write your SOP first

Create your cover sheet after the SOP is written.

GembaDocs uses the content of your SOP to generate the cover sheet for you. The more complete your steps are, the better the suggestions will be.

Step 2 – Turn on the cover sheet

  • Open your SOP in edit mode
  • Select Add Cover Sheet
  • Switch it on

Step 3 – Edit the section headings

When you open the cover sheet, you’ll see seven standard sections. These cover the things auditors and operators usually look for, like purpose, scope, responsibilities, and equipment required.

Every heading is editable.

  • Rename any section to match the language your organization uses
  • Keep it consistent across your SOPs so operators know where to find things

Step 4 – Generate content with AI

Select Generate with AI.

GembaDocs reads your SOP and gives you three suggestions for each section of the cover sheet.

  • Pick the suggestion that fits best
  • Edit the wording if needed
  • Repeat for each section

That’s it. Your cover sheet is done.

Step 5 – Add related SOPs, change history, and training status

You can add a few extra details to make the cover sheet more useful on the shop floor.

Related SOPs

  • Link other SOPs that connect to this process
  • They appear as QR codes on the printed cover sheet
  • They’re clickable in the digital version

Change history

  • Add a QR code that gives access to the document’s change history
  • Useful for audits and compliance checks

Training status

  • Display the current training status for the SOP directly on the cover sheet
  • Supervisors can see at a glance who is trained on the process

Step 6 – Use advanced cover sheets for a custom format

If the standard format doesn’t suit how your organization works, use advanced cover sheets.

  • Upload your own Word document
  • The document becomes fully editable inside the GembaDocs editor
  • Customize it however you need

This is a good option if you already have a cover sheet format your quality or compliance team requires.

Tips

  • Finish the SOP before building the cover sheet so the AI has the full process to work from
  • Always review the AI suggestions before publishing – you know your process best
  • Standardize your section headings once and reuse them across all SOPs
  • Use related SOP links to connect upstream and downstream processes so operators can move between them quickly
