Translate SOPs: Multiple Languages – Tool

GembaDocs lets you translate any SOP into multiple languages, so operators can follow standard work in the language they understand best. Add up to three languages to a single SOP through the advanced options. Operators can switch languages instantly when viewing an SOP digitally, and you can print multilingual versions in sequence or select only what you need.

Lesson Detail

The Lesson

What this does

GembaDocs lets you translate a single SOP into multiple languages. Operators pick the language they need, whether they’re viewing the SOP on a screen or reading a printed copy.

You manage one master SOP. GembaDocs handles the rest.

When to use it

Use this if you run a multilingual workforce and want every operator working from the same standard work, without a language barrier getting in the way. It also helps with compliance, since you can show that instructions are genuinely understood, not just posted.

How to translate an SOP

Open language options

Go into the advanced options of your SOP and select Language Options. You’ll see your primary language listed here.

Add your additional languages

Search for and select the languages you need to add. You can have up to three languages on a single SOP.

Auto translate and save

Select your languages, click Auto Translate, then save. GembaDocs translates the SOP into each additional language automatically.

This feature works the same way on both web and mobile.

Viewing and printing multilingual SOPs

Digital viewing

When someone opens the SOP digitally, they select the language they want from the options available. The SOP displays immediately in that language.

Printed copies

When you generate a PDF, the different language versions appear in sequence within the document. You can:

  • Print the complete multilingual SOP with every language included
  • Select only the languages you need for that specific print run

Tips and common mistakes

  • Keep your primary language SOP up to date. Translations follow from that master version.
  • Remember the language limit per SOP. Plan which languages matter most for your team.
  • Check translated versions after a major SOP update, since edits to the primary language don’t retranslate automatically until you run Auto Translate again.
